    Job title: Finance Officer - Treasury

    Location: Finance and Admin department

    Full/Part-time: Full-Time

    Fixed-term/Temporary: Fixed-term

    PURPOSE OF POSITION

    The role fo the responsible for coordinating all daily finance operations, banking operations, entering

    financial data into the Sun system, handle petty cash and cash on hand ensuring that all financial operation

    and transaction is compliant to e-banking protocol and sending invoices to the Shared Service Center,

    petrol reconciliation and settlement advance (SA) database for sound professional financial reporting.

    This role will support the unit of the Accounting and Control`s day to day activities and paying

    payment to vendors timely manner without any delays.

    MAJOR RESPONSIBILITIES

    Secure the safety of petty cash ensuring that World Vision (WV) safe is locked at all times and the key is in a safe place.

    Payout of petty cash within petty cash limit with proper documentation and approval on time.

    Ensure daily replenishment of petty cash when appropriate.

    Do daily routine banking transactions & deposit all received cash to the bank

    Prepare AP/projects funding disbursement voucher based on their request

    Review assigned purchase requests (PR)s of the National office (NO) department and Area program (AP)/project against approved budget and account code and inform to respective staffs if any discrepancies

    Review Concur related journals

    Send invoices to the Shared service center (SSC) regularly of the NO departments and AP/project

    Ensure that sent invoices have been processed timely manner

    Communicate relationships with the SSC if there is an error or mistake

    Enter all assigned vouchers to Sun System after appropriate approval

    Review projects budgets and contribute to the budget preparation stage and implementation stage both

    Clear outstanding balance sheet account balances timely such as advances, prepaid expenses, receivables and payables

    Prepare location reports for all documents placed in the finance archive

    Archive and file all vouchers of the NO and ensure those vouchers are securely kept and tracked

    Collect current exchange rates, prepare monthly forecasts from WVI selected banks and provide conversion memo for approval.

    Prepare conversion voucher based on approved conversion memo

    Prepare consolidated average exchange rate report for approval within the deadline

    Send entry and average rate to APs/projects

    Collect National staff signature sample

    Assist new staff to open bank accounts for salary

    Prepare a letter to bank and obtain approval for check request.

    Prepare the table for deposit and journal vouchers numbering

    Calculate the NO vehicle petrol regularly

    Ensure all drivers replenish the vehicle tank accordingly

    Ensure all drivers use the required forms accordingly

    Make reconciliation of petrol balances of Sun system and petrol statement for all WVIM vehicles (NO and AP)

    Send relevant documents via SA/ Pre advance (PA) timely manner

    Ensure that correct coding used for the SA/PA

    Fully understand the organization’s strategic objectives and can readily articulate them in a meaningful way.

    Actively join team meetings and devotions and raise voices and send feedback for any new ideas and simplifications

    Always seek to grow self-development including physical, spiritual, emotional, and professional

    KNOWLEDGE/ QUALIFICATIONS FOR THE ROLE

    Education

    Graduate degree of Bachelor in accounting, finance, business administration or any relevant degree

    Require knowledge of generally accepted accounting principles and practical knowledge of financial systems, internal controls, and procedures.

    Experience

    At least three (3) years experience in the field of Finance, commercial institutions or an NGO in the area of financial management/ accounting

    Knowledge and Skills

    Must have strong interpersonal, organizational communication skills

    Must have a thorough knowledge of and commitment of World Vision, its Ministries, Vision and

    Mission Statement, Core Values, Statement of Faith, Covenant of Partnership

    Advanced level of English language

    Sound knowledge of project financial management

    Certified Public Accountant is preferred

      Work Environment

      The position requires the ability and willingness to travel domestically and internationally up to

      10% of the time.
